
Nobody is making you report. So nobody does.
A management reporting pack is a set of numbers you have agreed to look at, assembled from Xero, MYOB or QuickBooks and your job system on a schedule, without anyone exporting to a spreadsheet. The automation is the easy half. Agreeing what counts as work in progress is the half that takes the meeting.
Why most small businesses have no management report
Because nobody requires one. A proprietary company is only "large" — and only then required to prepare and lodge audited financial reports — if it meets two of three tests: consolidated revenue of $50 million or more, gross assets of $25 million or more, or 100 or more employees, for financial years from 1 July 2019 (ASIC, Are you a large or small proprietary company, checked September 2026). Below that, the only numbers you are made to produce are the ones on your BAS and your tax return.
That covers almost everyone. At 30 June 2026 there were 2,814,778 actively trading businesses in Australia, with a 16.9% entry rate (460,461 entries) and a 13.8% exit rate (375,331 exits) over 2025–26 (ABS, Counts of Australian Businesses, released 18 August 2026). The same release notes 2025–26 was the first net increase in employing businesses since 2021–22.
So the monthly numbers exist only if you decide they do. Most owners decide they do at 11pm before a bank meeting, once, in a spreadsheet, and never again.
What a pack is, mechanically
A query and a schedule. The accounting side is already exposed: Xero's API serves Profit and Loss, Balance Sheet, Aged Receivables and Aged Payables by contact, Bank Summary, Budget Summary, Executive Summary, Trial Balance and the BAS and GST reports (Xero developer docs, Reports, checked September 2026). Those are read on a schedule, not re-typed.
The operational side is where the pack earns its keep, and it comes from the job system. Simpro ships more than 70 reports including Job WIP, Stock Value, Profit and Loss by Job and Aged Receivables, and can email scheduled reports daily, weekly or monthly (Simpro, Reporting, checked September 2026). ServiceM8's API allows 180 requests a minute and 20,000 a day per application per account (ServiceM8 developer docs, response codes, checked September 2026), which is more than enough for a nightly pull.
The pack then puts the two next to each other. Cash in the bank beside invoiced-not-paid beside done-not-invoiced. That third number is the one the accounting package cannot see and the one that usually explains why a profitable month felt broke.

The join, and where each system makes it hard
The join is the customer and the job. Every line in the pack needs to belong to one of each, in both systems, spelled the same way. Xero's limits are generous for this — 60 calls a minute and 5,000 a day per organisation (Xero developer docs, API limits, checked September 2026). QuickBooks Online allows 500 requests a minute per company file (Intuit developer docs, API call limits, checked September 2026).
MYOB is the awkward one. It does not support webhooks, so everything is polling (MYOB API support, webhooks, checked September 2026), and it does not publish its rate limits — the numbers you find online come from forum threads and we will not repeat them. A nightly pack copes with this; anything that wants to be near-real-time does not.

What we will not put in the pack
Commentary written by a model. A paragraph that explains why margin fell is a judgement, it will be plausible whether or not it is right, and you will read every word to check it — which is the argument made in full on the document generation page. The pack assembles numbers. A person writes the sentence.
Forecasts dressed as facts. A cash forecast from a small business is an assumption about who will pay when, and it belongs in a column labelled as such.
Late-payment context is worth including as a published benchmark rather than a prediction: Australian small businesses were paid an average of 6.6 days late in the December quarter — the second shortest quarterly result since records began in January 2017. (Xero Small Business Insights, published March 2026). Your own aged receivables against that is a fair comparison. A model's guess about next month is not.
The arithmetic
Average weekly ordinary time earnings for Australian full-time adults were $2,083.70, seasonally adjusted, in May 2026 — about $55 an hour over a 38-hour week before on-costs. Add 12% super and the loaded figure is about $61 an hour before leave, insurance or a vehicle (ABS, Average Weekly Earnings, Australia, May 2026; ATO, Super guarantee, current rate).
A pack assembled by hand once a month is typically a morning: exports, a spreadsheet, a few formulas that broke since last time. Four hours at $61 is about $245 a month, or about $2,900 a year. That is not a large leak, and we would rather say so than pretend otherwise.
The larger cost is the months it does not get done, because a pack that exists eight months of the year is not a pack. If the honest answer is that you looked at aged receivables twice last year, the build is buying reliability, not hours — and that is a legitimate reason, but it is a different sum.
Where this does not pay
If you can read your accounting package and your job system and you do, you already have the pack. The dashboards in both products are adequate for a business with one owner who looks.
If your BAS is on Simpler BAS — turnover under $10 million reporting only G1, 1A and 1B (ATO, GST reporting methods, checked September 2026) — and your bookkeeper produces a quarterly P&L alongside it, that may be all the reporting your decisions actually need. More numbers do not make better decisions; agreed numbers do.
And if the numbers going in are not coded consistently, the pack will be consistently wrong. Fix the coding first, which is the supplier-bill problem arriving from another direction. How we charge explains why a build this small is quoted as a single increment.
What we have not measured, and what we would measure for you
There is no reliable published Australian figure for how long assembling a monthly management report by hand takes in a small business, and we are not going to borrow one from a vendor whitepaper to make this page more persuasive. Most numbers you will see quoted for this were produced by companies selling the fix.
What we would do instead is count it on one of your jobs. Follow a single job end to end, note every time a human touches this step, and multiply by what that person costs loaded. That is a real number about your business and it takes an afternoon.

The questions people actually ask.
01Can’t we just use the dashboard in Xero?
For the accounting numbers, yes, and you should. What it cannot show is work done and not invoiced, because that lives in the job system. If that number is small or you already know it, the dashboard is enough.
02Can AI just write the monthly summary?
It can draft one, and you will then check every sentence, which is most of the time you saved. We assemble the numbers and leave the paragraph to the person who has to defend it.
03Where are your case studies?
