Most enquiries arrive missing the things you need to quote — the address, the access, the age of the thing, whether they own the place. Structured intake collects those before the conversation, so the first call is about the work rather than a game of twenty questions.
The information you need is never in the enquiry
"Hi, can you give me a price for a hot water system." No address, no idea if it is gas or electric, no indication whether they own the property or the landlord does.
So you ring, ask five questions, and the useful answer is "I will have to check". Then a second call. Two conversations to get to the point where quoting is possible, and the customer has meanwhile rung two other businesses.
What structured intake changes
The questions get asked once, in writing, at the moment the person is actually thinking about the problem — which is when they are most willing to answer them.
The trade-off is real and worth stating: every field you add loses some enquiries. A form with fourteen questions collects excellent information from the four people who finish it. The skill is asking the fewest questions that make the first call productive.

Qualification is not filtering
There is a version of this that tries to score leads and discard the low ones. We build it rarely and argue against it usually, because small businesses are bad at knowing which enquiry becomes their best customer and the scoring encodes that bad guess permanently.
What qualification should do is tell you what kind of conversation to have, and in what order to have them. Sorting by urgency and job type is useful. Sorting by predicted value is a way to systematically ignore people.
Where this does not pay
If most of your work comes by phone from people who already know you, intake is solving a problem you do not have. Referral businesses often find the form gets used by nobody and resented by the few who try.
And if enquiries are not your bottleneck — if you already turn work away — better intake makes the pile you cannot service more organised. That is a real outcome but it is not the one you wanted.
The thing worth building first
Not the form. The routing. An enquiry that arrives complete and then sits in a shared inbox for six hours has not been helped by better questions — triage is the prior fix.
If you only do one thing, make the enquiry reach the right person quickly. Structure the questions after that is working, because until it is, the information is arriving complete and going nowhere.
The second thing worth building is the acknowledgement. Not an auto-reply pretending to be a person — a short, honest note confirming what was received and when someone will be in touch. It costs nothing and it stops the caller ringing the next business, which is the actual competitive event.
What we have not measured, and what we would measure for you
There is no reliable published Australian figure for how long enquiry intake and the back-and-forth before a quote takes in a small business, and we are not going to borrow one from a vendor whitepaper to make this page more persuasive. Most numbers you will see quoted for this were produced by companies selling the fix.
What we would do instead is count it on one of your jobs. Follow a single job end to end, note every time a human touches this step, and multiply by what that person costs loaded. That is a real number about your business and it takes an afternoon.

Objections
Won’t a form put people off ringing?
Some, yes — that is the trade-off and anyone who tells you otherwise is selling forms. Keep it to three or four questions and offer the phone number prominently beside it. The form is for the people who prefer typing at 9pm, not a replacement for the phone.
