The quote is the single most-important sixty seconds in a trade business. It's the moment you either sound like a professional or sound like every other bloke who dropped in for a look. It's also the moment where speed matters more than most owners realise: the tradie who quotes fast wins the job, even if the number is a touch higher.

  • ServiceM8 / AroFlo / Tradify — job-management platforms that plug into Xero and give you a mobile-first quote flow.
  • Google Calendar — automate the job-day booking off the accepted quote.
  • A follow-up cadence — every unaccepted quote gets a soft chase at day 3 and day 7. Xero can do the day-3, you'll want a tool for the day-7 (see below).

For a solo tradie or a two-person crew: Tradify (cheapest, easiest). For a crew of 5–15: AroFlo. For a specialist trade with heavy service work: ServiceM8. None of them are perfect. All of them beat Word + Xero once you're doing more than 30 quotes a month.

Can I use ChatGPT to write my quotes?

For the covering note — yes, if you feed it your voice. For the actual quote content — no. Quote content needs to be exact, and generic AI will invent scope items or exclusions that trip you up at invoice time.

Is it worth doing quotes on-site with an iPad?
