Most quotes are not declined. They are forgotten.

A quote follow-up sequence does not fix a slow quote or a high price. It fixes silence, which is what most unanswered quotes are. Automating it means a polite message on a schedule that stops the moment the customer replies, and a job system that knows the quote is still open. Both ServiceM8 and Xero already do part of this.

What an unanswered quote usually is

Not a no. A no is a reply. Most quotes that never convert were read on a phone, put down when the kids came in, and never picked up again — and then a competitor rang back and the decision made itself.

You are competing against churn as well as competitors. The business population turned over hard in 2025–26: a 16.9% entry rate and a 13.8% exit rate across 2,814,778 actively trading businesses at 30 June 2026 (ABS, Counts of Australian Businesses, released 18 August 2026). The customer who did not answer is being quoted by somebody who started last month.

A follow-up is not sales pressure. It is the same message a good tradesperson sends by hand when they remember, sent whether or not they remember.

Before anyone builds anything, know what the licence you already pay for includes, because on this topic it is more than most owners have switched on.

The law on the follow-up message

A quote follow-up by email or SMS is a commercial electronic message under the Spam Act 2003. You can infer consent where the recipient has knowingly and directly given you their address and would reasonably expect to hear from you — a quote request qualifies — but every message has to identify your business accurately, carry contact details that stay correct for 30 days, and include a working, free unsubscribe that you honour within 5 working days (ACMA, Avoid sending spam, checked September 2026).

That last rule is the design constraint. An unsubscribe has to stop the sequence, and so does a reply, a decline, and an acceptance. A sequence that keeps going after any of those is not an automation problem — it is a reputation one.

Where the join is, and what we build

The join is quote status. The sequence has to read it from the system that owns the quote — ServiceM8, Simpro or Xero — before every send, and stop on anything other than "sent". A sequence running in a marketing tool that does not check back is how customers get chased for a job that started on Monday.

What we build is that check, plus the stop conditions: reply received, quote accepted or declined, unsubscribe, or the job scheduled. On ServiceM8 the native follow-up is often enough and we will say so. Where a business runs GoHighLevel for SMS, the build is the bridge that tells GoHighLevel to stop.

A payment link on acceptance is worth building alongside it — a deposit through Stripe at the moment of yes removes the second silence, the one before the deposit arrives.

The arithmetic, and why we will not give you a conversion figure

You will find vendor claims about how much follow-up lifts conversion. We are not quoting one, because every figure we found was published by a company selling follow-up software and none showed its sample. The honest arithmetic is yours.

Count three things from last quarter: quotes sent, quotes won, and the average value of a won quote. If you sent 60 and won 20 at $3,200 average, each additional point of conversion is worth about $1,900 a quarter. Then run the sequence for a quarter and count again. That is the measurement, and it takes no software to start.

Average weekly ordinary time earnings for Australian full-time adults were $2,083.70, seasonally adjusted, in May 2026 — about $55 an hour over a 38-hour week before on-costs. Add 12% super and the loaded figure is about $61 an hour before leave, insurance or a vehicle (ABS, Average Weekly Earnings, Australia, May 2026; ATO, Super guarantee, current rate). Follow-up by hand is rarely the leak — an hour a week is about $3,200 a year at that rate. The leak is the quotes that were never followed up at all.

Where this does not pay

If you win most of what you quote, follow-up is polishing a solved problem. Look at the invoices instead, where the same reminder pattern moves cash rather than pipeline.

If quotes take a week to go out, sequence timing is irrelevant. Speed of the first quote beats persistence of the third message, and that is a quoting-process fix, not a sequence.

And if your price is the reason, a fourth message will not change it. A declined quote with a reason is more useful than three unanswered follow-ups, so the sequence should make declining easy — which is the opposite of what most sales tooling is built to do.

What we have not measured, and what we would measure for you

There is no reliable published Australian figure for how long following up quotes that have not been answered takes in a small business, and we are not going to borrow one from a vendor whitepaper to make this page more persuasive. Most numbers you will see quoted for this were produced by companies selling the fix.

What we would do instead is count it on one of your jobs. Follow a single job end to end, note every time a human touches this step, and multiply by what that person costs loaded. That is a real number about your business and it takes an afternoon.

You can run the arithmetic yourself first — the leak calculator uses ABS, Average Weekly Earnings, Australia, May 2026 for the wage default and ATO, Super guarantee, current rate for super, and returns a range rather than a single confident figure. If the range comes back under our minimum engagement, that is a real answer and you should stop there.
