What a plumbing business actually spends admin time on
Four documents, over and over. The quote, the variation, the notifiable work form and the invoice. Everything else is a version of one of those.
The trade is big and thin. Jobs and Skills Australia counted 108,200 plumbers employed in November 2025, 93% of them full-time, with a median age of 34 and projected growth of about 5,300 a year. Construction services — the trades, as opposed to builders — account for 68.4% of the construction workforce and turned over $276.1 billion in 2023–24 (ABS, The nuts and bolts of the Australian construction industry, released 24 June 2025). Most of that turnover is invoiced by small businesses with nobody whose job is admin.
That is the pattern we build for. Across the whole economy the ABS Counts of Australian Businesses recorded 2,814,778 actively trading businesses at June 2026, only 996,203 of them employing anyone (released 18 August 2026). A plumbing business with three vans is well inside the group where the owner does the paperwork at night.
The compliance documents plumbing produces, and their deadlines
Plumbing has a paperwork regime most trades do not, and the deadlines are the part software can actually help with.
- KNDR·01Form 4 — notifiable workIn Queensland, notifiable work is plumbing and drainage work you can do without a local government permit or mandatory inspection — there are 12 categories in Schedule 1 of the Plumbing and Drainage Regulation 2019, including water heater replacement and fixture relocation. It must be registered with the QBCC within 10 business days of issuing the invoice for the work (QBCC). Plumbing on new construction is permit work, not notifiable work.
- KNDR·02The occupational licence itselfA QBCC occupational plumber licence costs $248.75 for one year or $602.99 for five, with annual renewal at $169.44 for a full licensee; the combined plumber and drainer licence is $416.61 for a year (QBCC licence fees, fees from 1 July 2026). Renewal dates for every licensed person in the business are a calendar problem, and calendar problems are cheap to automate.
- KNDR·03SWMS for high-risk construction workA safe work method statement is required for any of the 18 high-risk construction work activities — including work in or near trenches deeper than 1.5 metres, confined spaces and work near energised electrical installations — and must be kept for the duration of the work (SafeWork SA). Plumbers hit at least two of the 18 routinely.

On a Level 2 contract of $20,000 or more you also owe the owner a signed copy of the contract within 5 business days and a commencement notice within 10 business days of starting.
Getting paid: the BIF Act timelines and what late actually looks like
You get paid 6.0 days late on average. That is the June quarter 2026 figure for Australian small businesses in Xero Small Business Insights (published 30 July 2026), with the average time to be paid at 22.9 days — and Xero itself cautions that June figures improve for seasonal reasons and may be revised up. Large businesses paying small ones took 27.4 days on average in the first half of 2025, and the slowest 5% of invoices took 64 days (Payment Times Reporting Regulator, published January 2026).
If you are a subcontractor on construction work in Queensland, the Building Industry Fairness (Security of Payment) Act 2017 gives you a clock. A payment claim can be made from each reference date; the respondent must give a payment schedule within the earlier of the contract period or 15 business days, and if the contract is silent the payment falls due 10 business days after the claim. Contract terms that push a head contractor’s payment to a subcontractor past 25 business days are invalid (Holding Redlich’s guide to the BIF Act). Miss the schedule and the full claimed amount becomes due.
Most plumbing businesses do not use any of this, because the claim has to be made in a particular form on a particular date and nobody is watching the calendar. That is precisely the kind of thing a system should watch instead. Debtor chasing is the flow we build most often for trades, and the BIF Act clock is the version of it that has legal weight.

Start where money is stuck, not where the technology is interesting. The order below is the order we would put to a plumbing business with two to ten vans.

Job management software first, automation second
Buy the job management system before you build anything. We have built against ServiceM8 and Simpro and we still say that. ServiceM8 prices per business rather than per user — $29 a month for 50 jobs, $79 for 150, $149 for 500, with unlimited users on paid tiers (ServiceM8 pricing, fetched September 2026) — which for a plumbing business is usually the right shape.
What the product will not do is the joins: the variation that has to reach Xero, the Form 4 that has to be checked against the invoice, the reminder that has to go on the BIF date. That is where a build earns its money, and it is deliberately the cheapest thing we sell. What we have not measured, and what we would measure for you
We have not published a measured hours-per-week figure for plumbing admin, and we are not going to borrow one from a software vendor to make this page more persuasive. Every number above is a published Australian fact with its date attached. None of it is a Kindra measurement.
What we would do on a first call is count it on one of your jobs. Follow a single job from enquiry to paid invoice, note every time a person re-types something or hunts for a Form 4, and multiply by what that person costs you loaded. ABS Average Weekly Earnings puts full-time adult ordinary earnings at $2,083.70 a week in May 2026 — about $55 an hour before the 12% super guarantee the ATO has applied since 1 July 2025 — so the loaded figure is not small. That is a real number about your business, and it takes an afternoon.

If you have three or more vans, a person who does the office two days a week, and invoices that go out a fortnight after the job finished, the flows above are where your money is. Construction had 3,472 company insolvencies in 2025–26 — the worst of any industry again (ASIC data reported by Accountants Daily, 22 July 2026) — and slow invoicing is the leak that turns a busy year into a bad one.

01Where is the hours-per-week figure for plumbing admin?
Not on this page, because we have not measured it and no Australian government source publishes it. The numbers you see quoted elsewhere come from companies selling the fix. We will count it on one of your jobs instead, and give you that number.
02ServiceM8 already does invoicing. Why would I need anything else?
You may not. If your variations reach the invoice, your Form 4s go in on time and your debtors are under 30 days, keep the product and spend nothing. The build case is the joins between ServiceM8, Xero and the calendar — and only when the re-typing is costing more than the build.
03Do you understand plumbing, or just software?
We understand the paperwork, which is the part we are being asked to touch. We know a variation from a change order, a Form 4 from a permit, and a payment claim from a reminder. We do not do the plumbing and would not pretend to. The founder ran trade-adjacent businesses for years before Kindra.
